NannyToCare brings the day’s care, worked hours and payday records into one shared place. Built for families hiring help and nannies working with one household or several.

One account. Each household stays separate.

A household can work with multiple nannies. A nanny can work with multiple households, using the same verified account. Each job has its own hourly rate, timesheets, care reports, leave requests and approvals.

Use it for an occasional afternoon, a short engagement or ongoing care. Recurring schedules are optional: request a one-time visit or create recurring shifts, then record the hours actually worked and submit them in the appropriate week.

Start as an employer

  1. Create an account with your own email and password, then verify your email.
  2. Choose Create my household. You manage your own household’s records and nanny profiles.
  3. Open Nannies / Add a nanny. Enter her name, sign-in email and agreed gross hourly rate in CAD.
  4. Share nannytocare.com with her. She must sign in using the email you entered; creating her profile does not send an invitation automatically.
  5. Open her Payroll settings to review the rate, employment duties, payroll mode and required payroll details.

Every nanny has a separate rate. To remove access, use Disable or Delete access in Nannies. Your payroll history is retained; her account and jobs with other households remain separate.

Start as a nanny

  1. Create and verify your account using the email you gave your employer.
  2. Ask each employer to add that email to their household. You do not need a new account for every family.
  3. Choose the correct job in Your household / job. Use Refresh households after an employer adds you.
  4. Check in for a shift or enter worked hours directly. Add the daily notes your household requests.
  5. Save your hours, then Submit week when ready for review.

You can see your records for each connected job. Other nannies’ payroll records are not shared with you. If you also hire a nanny, you can create a separate employer household from your account.

Install the PWA

iPhone / iPad: open NannyToCare in Safari, choose Share / Add to Home Screen, enable Open as Web App if offered, and tap Add. Open it from that new icon.

Android: open in Chrome, then tap Install app or use the browser menu’s installation option.

Computer: use the website or your browser’s install option.

No APK is needed. Everyone uses the same website, and updates are delivered through the PWA. Internet access is required to view or save private records; payroll and photos are not cached for offline access.

Enable phone notifications

  1. Sign in on the device where you want alerts.
  2. Find Phone notifications, choose Enable phone notifications, and allow the browser’s permission request.
  3. Tap Send test and check that a notification arrives.

On iPhone and iPad, enable notifications from the installed Home Screen app. Repeat setup separately on each device. Notifications can be disabled from the app or your phone settings.

Alerts cover submissions, payroll decisions, shift updates, daily reports and time off. Lock-screen alerts are generic: child details, photos and pay amounts stay inside the app. Email and in-app updates remain available.

Track a short visit or a full shift

Open Daily care & time off / Check-in / out. The nanny checks in, then checks out and enters any unpaid break minutes. Completed clock hours are added to the timesheet automatically.

For work you did not clock, enter hours manually in Timesheet. Do not enter the same clocked hours again. A weekly timesheet is just how records are grouped—it does not require a full week of work.

For an overnight or forgotten clock entry, cancel it with a reason and enter the correct daily hours manually. The cancelled clock entry remains in the history. Submitted weeks lock until the employer returns them for corrections.

Choose your daily care forms

Employers open Daily care & time off / Household forms to enable daily journals and choose the sections they want:

  • Meals and snacks, with times and notes.
  • Naps and rest, including start and end times.
  • Learning, play, activities and outings.
  • Household tasks and general notes.

Add custom prompts such as “Which book did you read?” Nannies fill in the enabled sections under Daily reports, using a child’s first name or a task label where useful. Reporting is optional and configured separately for each household.

Share activity photos privately

Employers can enable camera photos in Household forms and choose how long new photos remain available: 7, 30 or 90 days.

Nannies: select today in Daily reports, open the in-app camera, take a photo and save it. There is no device-file picker or nanny download button. After saving, the photo action available to the nanny is Delete.

Employers: view, download or delete photos for your household’s nanny records.

Photos require signed-in access. Expired photos become unavailable immediately; stored files are cleaned up on later uploads. Manual deletion is available immediately. These controls cannot prevent screenshots or an authorized viewer saving an image through browser tools.

Request time off or report sickness

In Time off, nannies can submit sick days, vacation, personal time off or unpaid leave. Choose dates and optional times for part-day requests. A short note is enough; medical details are not required.

The employer approves or declines and confirms whether approved leave is paid or unpaid. Both sides can see the decision. Pending requests can be cancelled.

For paid leave, the employer enters the agreed regular leave-pay amount and selects an unlocked payroll week. The app adds it once—do not add it again manually. Split requests when leave pay needs separate pay periods. Contact the employer about changing approved leave.

Review hours and pay in CAD

  1. The nanny saves and submits the week.
  2. The employer reviews the hours and any paid leave, then approves or returns the week for changes.
  3. The household sends the nanny an e-Transfer separately using their bank.
  4. Record the e-Transfer and optional confirmation reference in NannyToCare.

Québec payroll mode: estimates 2026 regular weekly deductions using the nanny’s payroll settings. Review the employee’s forms and verify the first calculation before paying.

Gross-pay tracking: records hours and gross earnings without calculating deductions. Calculate required deductions outside the app and enter their total when recording payment. The report distinguishes gross earnings, external deductions and the actual payment.

Payroll mode locks after the first approval to keep year-to-date calculations consistent. Turning calculations off does not remove an employer’s tax obligations. Bank transfers, remittances and government filings are not automated.

Keep a record on both sides

In Pay history, choose Full report to download a record of weekly payroll, deduction breakdowns where calculated, daily hours, shifts, journals, leave and retained change history.

Open the downloaded report in a browser and use Print / Save as PDF for a printable copy. Payroll CSV exports and care-record JSON exports are also available.

Photos are listed but not embedded in full reports. Employer photo downloads are a separate action. Reports are household records, not T4 or RL-1 slips or proof of government remittance.

Verify your mobile number after signing in. One verified number is linked to one account; use that same account across all your households.

Keep separate passwords. Use Forgot password on the sign-in page if you need a reset.

Chat & care reminders

Open Care / Chat & reminders for the selected caregiver. Each employer–caregiver relationship has a private conversation, separate from all other households and caregivers. Messages refresh while the chat is open; use Mark messages read to acknowledge them.

Either person can schedule a one-time reminder with a title, details and a date/time, addressed to the employer, caregiver or both. Times are entered in your device’s time zone. Mark it done or cancel it when plans change. Due reminders appear in Updates and use configured email and enabled phone push. Notification delivery can be delayed; use a phone call for urgent matters.

Messages and reminders are included in the full household report. Share activity photos through the camera in Daily reports.

Each child has their own day

Open Child & family / Children & access. Add each child separately with their birthday, allergies, dietary restrictions, health information, pickup permissions and parent-provided emergency instructions. Choose which caregivers can access that child and when access expires.

In Record care, record meals, bottles (mL or oz), water, diapers, potty attempts, sleep, mood, activities, learning, symptoms and incidents. Start and end a nap timer from Child’s day. Each child has a separate timeline, gallery, daily report and parent acknowledgement.

Medication administration requires current parent-entered authorization. The app records instructions and observations; it does not generate medication doses or medical advice.

Plan routines and share responsibilities

Use Plans & calendar for daily, weekday, weekend or weekly routines, meal plans, learning goals, household tasks, shopping supplies and childcare requests. Caregivers accept, decline or propose changes to requested shifts. Parents approve proposed changes. Edited bookings require acceptance again.

Use the activity library for reusable, parent-approved activities filtered by the child’s age. Mark tasks done, record notes, and flag supplies as running low. Export a calendar snapshot for Google or Apple Calendar; this is not automatic two-way synchronization.

Submit expenses or mileage claims separately from payroll. Parents approve claims, send reimbursement by e-Transfer, and record the transfer reference. The app does not send money, file taxes or process direct deposits.

Family access, privacy and security

The household account owner can add another parent, a family caregiver or a read-only family member with their own verified email. Family access is separate from payroll and billing access. Parents manage child permissions; revoked or expired access is rejected on the next request.

Enable photo/video consent separately for each child. Camera photos, short camera videos, voice notes and private PDF attachments are available in Gallery & files. Caregivers capture new activity photos rather than upload images. Parents can download; authorized viewing cannot prevent screenshots or copying.

Under My profile, choose family notification categories and optionally set up an authenticator app for two-factor sign-in. Parents can inspect recent access and change history. Data export is available in Reports & trends; parents can delete a child and their family records. Deletion immediately removes access; stored media is removed by the background cleanup worker.

Optional location sharing is caregiver-controlled and works only during a clocked-in shift while the location screen is visible. It is not continuous background tracking or an emergency monitoring service.

Our vision is a practical service for Canadian households and the nannies they hire: clear expectations, shared visibility into the day, accurate hours, and understandable pay records—even when care is occasional or spread across several families.

Available now: the PWA, separate household accounts, multiple nanny relationships, hours and approvals, multiple child profiles, structured care timelines, family permissions, routines, requests, expenses, camera media, leave, notifications and exports. Payroll deduction estimates currently cover the documented 2026 Québec weekly-pay scenario.

Planned: employer-paid subscription plans with free nanny accounts, and payroll support for additional provinces. Subscription billing is not active yet. Canada-wide payroll coverage is not yet available.
